Important Dates

Wednesday, November 2, 2022 - Registration and housing opens to all delegates

Access to online registration and housing will be announced via e-mail on the dates noted above. If you do not receive an email, please contact the AAAAI Meetings Team at (414) 272-6071 or visit http://annualmeeting.aaaai.org.

Registration Types
We are pleased to announce that the 2023 AAAAI Annual Meeting will include the option to attend either virtually or in person. Our educational programming includes over 275 sessions. The majority of the non-ticketed in-person sessions will be recorded and available for on-demand viewing shortly after the live meeting dates. Below is additional information that explains what each registration type includes:

In-Person Registration (includes virtual access)
The Annual Meeting registration fee includes admittance to all education sessions that do not require an additional ticket as well as the Exhibit/Poster Hall. Ticketed sessions, most of which will not be recorded, are available as an additional purchase. Attendees will also be able to participate in the Featured Poster Session & Reception taking place Sunday, February 26.

All Annual Meeting registrants will have full access to the virtual content of the meeting including additional pre-recorded education sessions, select recorded onsite education sessions and the virtual poster hall. Virtual content and credit claiming will remain accessible through December 31, 2023.

Attendees participating in the 2023 Annual Meeting with an In-Person registration will be required to abide by the 2023 AAAAI Annual Meeting Health and Safety Protocols.

The 2023 AAAAI Annual Meeting will be primarily held at the Henry B. Gonzalez Convention Center with additional sessions taking place in the co-headquarter hotels, Grand Hyatt San Antonio & Marriott Rivercenter.

Virtual-Only Access
Attendees will only have access to participate in the virtual components of the Annual Meeting which will include a limited number of pre-recorded sessions, live streamed sessions, select recorded onsite education sessions and the virtual poster hall. Virtual content and credit claiming will remain accessible through December 31, 2023.

*Non-member Medical Students, Residents & Fellows-in-Training: In order to be eligible for the appropriately discounted rate, upload your student ID or proof of status by sending a message through the Annual Meeting Registration & Housing Support Center. We will review all student ID/proof of status within one business day. Upon approval, you will receive an invitation code to apply the appropriate discount and begin your registration process. If proof of enrollment is not submitted prior to registering, the standard registration fees will apply.

Medical Students and Residents: Please provide documentation of your status via academic record or hospital identification.

Fellows-In-Training: Please provide a letter of status attesting to your current appointment as a Fellow at your institution with your program start and end dates.

Guest Registration
Attendees participating in the 2023 Annual Meeting with an In-Person registration have the option to register guests and spouses who may be joining them in San Antonio. Registered guests and spouses will be admitted to the Hospitality Suite, the Exhibit Hall and the Associates to the AAAAI (Spouses & Friends) activities. The registration fee is $100 for each spouse/guest 18 years or older. No fee is required for guests age 17 or under. Fee includes membership dues to the Associates.

Registration Refund Policy
Refund requests must be submitted in writing by emailing aaaaisupport@cmrus.com or by fax at (415) 216-2553. If the request is received within 72 hours of registering, a full refund will be issued. If the request is received after 72 hours, no refund will be provided; however, if an In-Person registration was initially purchased, it may be converted to a Virtual-Only registration at no additional charge. Full refunds will be provided for guest registration(s) and individual ticketed session(s) if the cancellation request is received on or prior to Thursday, February 16, 2023. Refunds will not be issued due to inclement weather, no-shows or for AAAAI Foundation activities.

Attendees registered for an individual education session, but not participating in the 2023 Annual Meeting, will be refunded the education session fee minus a $75 processing fee if cancelled by Wednesday, February 1, 2023. If the session fee was less than $75, no refund will be offered. No refunds will be provided after February 1, 2023.

If an attendee chooses to change from an In-Person registration to Virtual-Only registration (or, vice versa), they are allowed to do so. No additional fees will apply. If this change is made after Wednesday, February 1, 2023, the attendee should contact the AAAAI Registration team at aaaaisupport@cmrus.com for further assistance.

In the circumstance that AAAAI is not able to hold its 2023 Annual Meeting in person, all In-Person registrations will be converted to Virtual-Only registrations. No refunds will be offered. Attendees who registered guests will receive a full refund of the guest registration fee. Attendees signed up to participate in individual education sessions and other ticketed sessions will receive a full refund for each individual session if those events are not able to be held virtually.

Should an attendee no longer be able to attend in-person, or AAAAI is not able to hold the event, each attendee is solely responsible for cancelling their hotel and travel reservations and is responsible for any fees related to their cancellation.

Changes and corrections can be made online by clicking the link in your email confirmation, visiting the registration website and logging in to your registration profile or by contacting the AAAAI Support Center.

A new confirmation email will be sent after each change or correction.

Housing

Housing Reservations
Because of the popularity of certain properties in the 2023 Annual Meeting hotel block, delegates are encouraged to make their hotel reservations at the earliest possible date. Rooms will be reserved on a strict first-come, first-served basis. All delegate hotel reservations must be made no later than February 1, 2023. Convention Management Resources (CMR) is the only authorized vendor for housing at the 2023 AAAAI Annual Meeting. Booking through CMR via the 2023 Annual Meeting website is the preferred method of securing hotel reservations. Please see our housing alert for more information.

Confirmations
If you book your hotel reservation online through the Annual Meeting website, you will receive a confirmation via email immediately upon completion. This email will include the only confirmation number you will need. Your hotel will not issue a confirmation of your reservation.

Changes and Cancellations
All changes or cancellations to existing delegate hotel reservations must be made by contacting CMR by February 1, 2023; do not contact the AAAAI. After February 1, 2023, changes to your existing reservation are subject to hotel availability and cancellations may be subject to a loss of one night’s room and tax. Beginning February 17, 2023, please contact the hotel directly for changes and cancellations.

Deposit
Each delegate hotel reservation must be guaranteed with a one night’s room and tax deposit by credit card (American Express, Discover, MasterCard or Visa) or check. Should you wish to pay the deposit via check, please contact CMR in advance to confirm the amount due. Checks should be made out to Convention Management Resources in U.S. funds, drawn on a U.S. bank and include the ABA encryption code. Credit card information will be forwarded to the hotel on February 1, 2023 and the hotel may charge a deposit of one night’s room and tax to your credit card on/after that date.

Guaranteed Payment Policy
When the hotel reservation is made and confirmed through CMR, the Annual Meeting hotels may hold delegates individually responsible for all charges that accrue for the use or non-use of that reservation. For this reason, please be sure to have any necessary changes or cancellations to your reservation made by February 1, 2023. Delegates who fail to arrive on their scheduled arrival date or depart before their scheduled departure date, may be charged for all nights of their confirmed reservation whether they actually utilized the hotel room or not. Such major credit card companies as Visa and MasterCard will allow hotels to collect charges if they can demonstrate that you were made aware of the policy. In light of this, please be sure your confirmed hotel reservation matches your itinerary.
